Scaling Perfect Weddings Abroad

Moving beyond off-the-shelf limits to build a robust, high-touch multi-brand digital engine.

Prepared for Project Steering Board Owners (Helen, Dave and Danny)

Prepared by DevPals Ltd (Alex and Stefan)

Scope Long-Term Multi-Brand Digital Transformation

Executive Summary

Following the incredible growth driven by the Jet2 Holidays contract—which has doubled wedding volumes across Cyprus and Greece—manual operational workflows and standard SaaS tools (such as Shopify) are introducing critical scaling bottlenecks.

"While channels like Jet2 serve as a more accessible entry point for the business, for the couples themselves, this is still their big day. They might be looking for a different budget tier, but they do not expect a 'budget' or second-rate feeling—they still deserve a gorgeous, high-end, and fancy user experience that makes them feel truly special."

Our objective is clear: transition away from temporary off-the-shelf workarounds and build a bespoke, highly integrated digital platform that protects PWA's luxury reputation while automating operations at scale.

The Business Challenge & Architecture Reality

The Growth & The 18-Month Gap

  • Doubled Volumes: Jet2 contract expansion strains manual concierge capacity.
  • Extended Planning Cycle: Couples book 18 to 36 months in advance, generating high inbound communication volume.
  • Multi-Brand Complexity: Managing distinct pricing, inclusions, and permissions across 3 tiers: Core PWA (Luxury), Jet2 Holidays (Accessible), and General Public.

Why Shopify is an Architectural Dead End

  • Rigid Retail Grids: Forced into standard e-commerce categories ("Flowers", "Decor") that feel like clinical shopping chores rather than emotional journeys.
  • Manual Overhead: Requires concierge staff to manually create and tag customer accounts for every tier.
  • CRM Disconnection: Complete separation from the core T-Profile CRM, leading to data silos and operational friction.

The New Client Experience: 4 Interactive Concepts

To solve both the client experience and the operational bottleneck simultaneously, we have designed four interactive planning concepts:

1. Senses (Mood & Atmosphere)

Instead of a boring catalog, couples visually build the mood of their wedding right from day one (lighting, music, settings, and vibe), removing uncertainty and driving instant engagement.

2. Day (Interactive Timeline)

An intuitive timeline guiding couples from morning preparations through ceremony, reception, and evening fireworks. Every choice dynamically updates pricing estimates without manual coordination.

3. Together (Gamified Dual-Screen)

A fun, light format where the bride and groom make choices together from opposite sides of the screen, aligning expectations and eliminating planning stress.

4. Smart Guided Concierge

A venue-locked custom builder that protects brand reputation by only showing products physically available at their specific resort while syncing seamlessly into backend CRM.

Next Steps & Steering Board Decision

1. Review & Alignment: Gather feedback from the Project Steering Board on the strategic roadmap and custom architecture.

2. Resource & Partnership Structuring: Align on development timelines and joint venture / revenue-share structuring to minimize upfront CAPEX.

3. Post-WTM Deep Dive: Reconnect after the WTM conference to kick off discovery and map out the precise execution plan.
